About the Role:
As the People Operations & HR Coordinator, you will be a key connection point between LeadAdvisors and its remote team members.
You will coordinate onboarding, maintain accurate records, support engagement initiatives, conduct regular team-member check-ins, manage internal communications, coordinate assignment and status changes, and help identify issues before they affect retention, service delivery, or client relationships.

Some team members will spend most of their time supporting a specific client campaign. Your role is to ensure they remain connected to LeadAdvisors, understand the appropriate company processes and support channels, have a clear point of contact, and receive timely support throughout their engagement.

This role is ideal for someone who enjoys building order from moving parts, following up consistently, improving people-related workflows, and helping remote teams feel supported without creating unnecessary bureaucracy.

Key Responsibilities:
Team Member Experience and Engagement:
  • Serve as a reliable People Operations contact for team members across LeadAdvisors departments, internal functions, and client campaigns.
  • Build and maintain strong, professional relationships with remote team members.
  • Conduct regular check-ins with new and active team members to understand their experience, engagement, support needs, and potential concerns.
  • Help team members stay connected to LeadAdvisors' culture, communication, standards, resources, training, recognition, and company updates.
  • Coordinate engagement initiatives such as welcome messages, internal announcements, recognition activities, feedback requests, pulse surveys, virtual team activities, and team-member communications.
  • Identify early signs of disengagement, communication gaps, role confusion, assignment concerns, performance risks, or potential attrition.
  • Escalate team-member concerns appropriately and maintain clear documentation of follow-ups and next steps.
  • Support a positive, respectful, high-accountability remote work environment.

Onboarding and Lifecycle Coordination:
  • Coordinate onboarding for new team members and contractors, including agreements, documentation, orientation, policy acknowledgments, internal introductions, system-access coordination, and onboarding checklists.
  • Ensure new team members understand LeadAdvisors processes, communication channels, support lanes, documentation requirements, security expectations, and escalation paths.
  • Coordinate introductory check-ins and onboarding follow-ups to confirm each new team member is prepared to begin their role or assignment.
  • Maintain accurate and confidential records for team members, including role details, start dates, agreements, required documents, assignment details, contact information, system access, and status changes.
  • Track key lifecycle milestones, including onboarding completion, upcoming agreement renewals, assignment changes, transitions, offboarding, and required documentation.
  • Coordinate offboarding activities, including status updates, access-removal requests, exit feedback, knowledge-transfer steps, and final documentation.
  • Help ensure that transitions between roles, internal functions, projects, and client campaigns are organized and communicated clearly.

Workforce and Assignment Support:
  • Maintain visibility into team-member assignments, department or campaign placement, availability, key contacts, current status, and relevant operational notes.
  • Coordinate assignment-change communications when team members move to a different campaign, project, department, or internal function.
  • Ensure team members assigned to client work remain aware of LeadAdvisors communication channels, support resources, company processes, and operating standards.
  • Partner with Operations, Campaign Leaders, Account Management, Recruiting, and Leadership to maintain accurate workforce information and surface staffing or engagement concerns.
  • Help document assignment details, coverage expectations, role requirements, key contacts, onboarding status, access needs, and escalation paths.
  • Support campaign transitions by helping ensure relevant documents, access, records, and internal communications are completed on time.
  • Flag issues that may affect team continuity, client delivery, staffing capacity, or team-member retention.

Documentation, Systems, and Reporting:
  • Maintain People Operations trackers, team rosters, folders, templates, SOPs, onboarding materials, and confidential records.
  • Keep team-member data accurate across approved systems such as Notion, Google Workspace, Slack, HubSpot, and other company tools.
  • Maintain documentation for onboarding completion, active assignments, team-member status, access requests, agreement dates, check-ins, engagement activity, and offboarding.
  • Help improve People Operations workflows, templates, checklists, reports, and internal knowledge-base materials.
  • Prepare recurring People Operations reports for leadership, including headcount, onboarding status, active assignments, upcoming renewals, engagement activity, unresolved concerns, and retention risks.
  • Support data-cleanup projects, workflow audits, documentation updates, and other People Operations initiatives as needed.
  • Handle all team-member information with professionalism, confidentiality, and good judgment.

Communication and Cross-Functional Coordination:
  • Coordinate closely with Team Leads, Department Heads, Operations, Recruiting, IT, Finance/Payments, and Leadership.
  • Ensure team members know where to direct questions related to documents, setup, systems access, technical issues, coverage changes, and payment concerns.
  • Maintain clear records of people-related requests and avoid relying on informal or untracked direct messages for issues requiring follow-up.
  • Support internal communication workflows so team members receive timely updates about company-wide processes, policy changes, training, assignments, or important operational announcements.
  • Help ensure questions and concerns are routed to the correct internal support lane and followed through to resolution.
  • Communicate professionally, clearly, and empathetically with team members across different roles, countries, and time zones.

Required Qualifications:
  • At least 2 years of experience in People Operations, Human Resources, HR Coordination, HR Operations, Workforce Operations, Recruitment Operations, Office Administration, Account Coordination, or a related role.
  • Experience supporting remote, distributed, outsourced, BPO, agency, contractor, freelance, or service-based teams.
  • Strong written and verbal English communication skills.
  • Strong relationship-building, active-listening, follow-up, and problem-solving skills.
  • Excellent organization, time management, and attention to detail.
  • Experience managing records, trackers, onboarding workflows, agreements, documentation, or team-member databases.
  • Ability to handle confidential information with maturity, discretion, and sound judgment.
  • Experience coordinating across multiple stakeholders, deadlines, departments, or time zones.
  • Comfortable using Google Workspace, Slack, Notion, HubSpot, Google Sheets, Airtable, ClickUp, Asana, or similar tools.
  • Ability to work independently, prioritize effectively, and maintain high-quality documentation in a fast-paced remote environment.

Preferred Qualifications:
  • Experience in a BPO, outsourcing, agency, staffing, call center, customer support, sales support, lead-generation, digital marketing, or remote-services environment.
  • Experience coordinating contractor or remote-team onboarding, engagement, assignment changes, and offboarding.
  • Experience with team-member engagement programs, retention initiatives, pulse surveys, feedback collection, or internal communications.
  • Experience with workforce allocation, staffing coordination, campaign support, capacity tracking, or account-team coordination.
  • Experience creating SOPs, onboarding guides, process maps, templates, team trackers, dashboards, and recurring reports.
  • Familiarity with HRIS systems, contractor-management tools, applicant tracking systems, or workforce-management platforms.
  • Experience supporting U.S.-based clients, international teams, or distributed operations across multiple time zones.
